We are Tennis! The USTA (United States Tennis Association) is the national governing body for the sport of tennis and the leader in promoting and developing the sport’s growth on every level in the United States, from local communities to the crown jewel of the professional game, the US Open.

Who You Are

 

  • Experience: 7+ years of experience in event management, with at least 3 years in a senior role overseeing large-scale events. Experience in organizing educational or professional development events is a plus.
  • Leadership: Proven leadership and team management skills, with a strong ability to guide cross-functional teams toward successful event execution.
  • Project Management: Excellent project management skills, with the ability to manage multiple events simultaneously and deliver on tight deadlines.
  • Communication Skills: Exceptional verbal and written communication skills, with the ability to engage with executives, partners, vendors, and stakeholders.
  • Detail-Oriented: Meticulous attention to detail and an ability to foresee and solve problems before they arise.
  • Budget Management: Strong financial acumen and experience managing budgets and negotiating with vendors.
  • Flexibility & Travel: Willingness to travel for site visits, events, and meetings as needed.
  • Event Technology: Proficient with event management software, registration systems, and digital tools that enhance the attendee experience.
  • Ability to handle confidential matters discreetly.
  • Excellent PC skills in Excel, MS Word, PowerPoint, and Google required. Experience with Monday.com or other project management platforms is a plus. 
  • Capability in other software programs preferred (e.g. Concur).
  • Demonstrated interest in the sport is a plus
  • This position is designated as "hybrid/flex" and will require on-site work while allowing for some remote work. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time. Please consult HR for the most current policy.

The expected range for the base salary for this position is between $95,000-115,000, plus a potential ICP bonus. 

This range does not include any additional pay or benefits for which a person may qualify.  The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.

The Role

Responsible for designing, organizing, and executing a diverse range of high-quality events for USTA Coaching. Working closely with the leadership team, you will ensure that all events—whether for internal stakeholders or the broader coaching community—are flawlessly executed, professionally managed, and deliver lasting impact.

Event Planning & Execution

  • Summits & Conferences: Lead the planning and management of large-scale summits, including coach education events, conferences, and workshops.
  • Board Meetings: Collaborate with Meetings & Conference team to organize locations, hotels, and other operational logistics for Board of Director meetings, ensuring all elements are smoothly handled and that meetings run seamlessly.
  • Location Scouting: Research and secure appropriate venues for events based on size, location, amenities, and budget, ensuring alignment with event goals.
  • Event Logistics: Oversee all event logistics, including registration, transportation, AV equipment, catering, and accommodation for attendees and speakers.
  • On-Site Management: Serve as the on-site leader for events, ensuring that all operational aspects are managed efficiently and that any issues are resolved in real-time.

Event Strategy & Development

  • Event Strategy: Collaborate with leadership to develop a strategic vision for the USTA Coaching event portfolio, ensuring events are aligned with organizational goals and drive brand recognition.
  • Innovative Experience Design: Create and deliver high-quality attendee experiences that reflect the world-class nature of our coaching programs.
  • Partnerships & Sponsorships: Identify and foster partnerships or sponsorships that enhance event offerings and extend the reach of our events, and collaborate with internal partnership/sponsorship colleagues to explore synergies.

Budgeting & Financial Oversight

  • Event Budgeting: Develop and manage event budgets, ensuring all costs are controlled while maintaining a high standard of delivery.
  • Vendor Negotiation: Negotiate contracts with vendors, venues, and suppliers to secure the best possible rates while maintaining the desired level of service.

Team Management & Collaboration

  • Team Leadership: Manage a team of event coordinators and work closely with cross-functional departments including marketing, operations, and content teams to ensure a unified event experience.
  • Collaboration with Speakers: Coordinate with guest speakers, instructors, and thought leaders to ensure their participation in events runs smoothly.

Post-Event Analysis

  • Reporting & Feedback: Track and analyze event performance through attendee feedback, engagement metrics, and financial performance to assess success and identify areas for improvement.
  • Continuous Improvement: Leverage learnings from each event to refine processes and improve the execution and impact of future events.
